About these terms
Winter Mongolia is a travel brand owned and operated by META GROUP LLC in Mongolia. These Terms and Conditions apply when you use this website, send an inquiry, submit a booking request, accept a final quote, make a payment, or participate in a confirmed experience.
You must be at least 18 years old and able to enter into a binding agreement. If you make arrangements for other travelers, you confirm that you have authority to provide their information and accept these terms on their behalf.
Requests and booking confirmation
An inquiry is only a question. A booking request asks us to review your preferred experience, dates, and group, but it does not reserve capacity or create a confirmed booking.
We review availability and may approve the request with a final price and payment deadline, ask for more information, propose an alternative, or decline the request. A booking becomes confirmed only after the required payment succeeds and we issue a booking confirmation.
Prices and payment
Prices and payments are stated in United States dollars (USD). Catalog prices may be per person and may include group discounts. The final quote shown after our review controls if it differs from an earlier estimate.
Payment must be completed before the deadline in the approval message. Your card issuer or payment provider may apply its own conversion rate, international transaction fee, or other charge outside our control. Payments are processed through an approved third-party payment provider; Winter Mongolia does not store complete card numbers or card security codes.
Experience details and service delivery
The published experience page and your final quote describe the duration, dates, itinerary, inclusions, exclusions, and other material arrangements. Optional activities, upgrades, transport, meals, accommodation, or other services not listed as included are your responsibility.
Confirmation and important trip information are sent to the booking contact by email. Final meeting, pickup, guide, and practical instructions may be supplied after confirmation and before the experience begins. You are responsible for providing a working email address and checking for our messages.
Changes to an experience
Winter travel can be affected by weather, road conditions, local events, safety considerations, supplier availability, and circumstances outside reasonable control. We may make reasonable changes to timing, routes, transport, accommodation, activities, or the order of an itinerary while preserving the overall character of the experience where practical.
We will communicate material changes as soon as reasonably possible. If META GROUP LLC cancels the confirmed experience, the amount paid to us for that experience will be refunded in full in accordance with our Cancellation and Refund Policy.
Traveler responsibilities
You are responsible for:
- providing accurate contact, traveler, date, and eligibility information;
- obtaining valid passports, visas, permits, and travel insurance;
- reviewing health, mobility, equipment, clothing, and fitness requirements;
- disclosing relevant medical, dietary, or accessibility needs early enough for us to assess them;
- arriving at the confirmed place and time and following reasonable safety instructions; and
- treating guides, hosts, communities, other travelers, animals, property, and the environment respectfully.
We may remove a participant whose conduct creates a material safety risk or seriously disrupts the experience. Any refund in that situation will be determined under applicable law and the circumstances involved.
Cancellations and refunds
Customer cancellations, no-shows, unused services, operator cancellations, and refund processing are governed by our Cancellation and Refund Policy, which forms part of these terms. Please read it before paying, particularly if your experience begins within seven days.
Independent services and personal property
Airlines, railways, hotels, activity operators, local hosts, and other suppliers may provide parts of an experience as independent service providers. Their own reasonable safety and operating rules may apply.
You remain responsible for personal property and for travel arrangements before the confirmed meeting point and after the experience ends. Nothing in these terms excludes or limits a right or liability that cannot lawfully be excluded or limited.
Privacy and website access
Our Privacy Policy explains how we collect, use, share, retain, and protect personal information. Secure inquiry and booking links are intended only for the recipient. You must not share those links or attempt to access another person's information.
You may use the website only for lawful purposes. You must not interfere with its operation, attempt unauthorized access, submit malicious content, or misuse automated tools to overwhelm forms or services.
Questions, complaints, and governing law
Raise an issue with the guide or our team as soon as possible so that we have a fair opportunity to help. Formal notices and post-trip complaints should be sent to info@wintermongolia.com with the relevant booking reference and details.
These terms are governed by the laws of Mongolia. We will first try to resolve disputes in good faith. If that is not possible, disputes may be submitted to the courts of Mongolia, subject to any mandatory consumer rights that apply.
Updates to these terms
We may update these terms as our services or legal obligations change. The version that applies to a confirmed booking is the version presented when you complete payment, unless a later change is required by law or is more favorable to you.
